Kickstart: Sending review requests to past customers

If you have just started your journey with customer ratings and reviews, you may want to consider getting a nice reviews boost from day 1.

Kickstart means sending a batch of invitations to your past customers. Usually, we recommend 1-3 months back, so that the impressions your customer had while shopping and of the products are still fresh. However, feel free to choose the period you find most relevant based on your preferences and products type, within the scope of your contract.

Specific file and data structure is required for the invitations import not to fail. Please follow the instructions below when creating the import file.

  • Format: Excel file 
  • The first line in the import must always have the column names 
  • All rows in an import must follow the exact same format and data in columns must correspond with the column names 

PRODUCT & SERVICE invitations import

As a rule, we are not sending a request for both product and service review to one person. It’s an either-or case: Before sending out the Kickstart campaign, you will decide on the ratio of how many of your shoppers will be asked to share their thoughts on the purchased product(s) vs how many should be asked to share their shopping experience.

The ratio can be specified in Settings  – Invitation setup – General – Percent of service reviews.

Only SERVICE invitations import

If you want to focus on service reviews in the beginning so that your homepage widgets fill up with reviews as quickly as possible, you can decide to send out only Service review requests. You may also decide to do so if for whatever reason you cannot access the correct product IDs for the past purchases (e.g., you recently changed platforms).

The file is simpler and requires only 4 data points.

Service reviews, often referred to as Company reviews, are reviews about delivery, website, performance of your customer support representatives, and other parts of your customers’ general shopping experience.

File correctness checklist 

  • Check if the top row displays column names and if all data follows the column names
  • Remove the row with red instructions
  • Make sure that the column headings match those provided in the template (e.g., CustomerName)
  • Make sure that all cells in the columns marked as required (marked green) are filled out or remove rows with empty cells.
  • Remove all columns that are not there in the template
  • Remove all the empty optional columns (marked gray)
  • Check if all data is correct (e.g. Date format yyyy-mm-dd)
  • Make sure to include in the file only the orders that were shipped to the customer (remove those unfulfilled or cancelled)
  • Make sure to only include orders where the customer gave you consent for marketing communication
  • Check special characters (e.g. Norwegian å, Å, ø, Ø, æ, Æ) and correct them if necessary

How to import invitations

  • Send the Kickstart file in excel format to our Support for verification and import. In the email please specify when you would like the reviews to be sent out.
    Please note: Lipscore support team only verifies if the data is correct structure-wise. It is your responsibility to:

      • Crucial: Make sure the IDs used in the ProductID column in the file are the same as are / will be used in the Lipscore integration. Otherwise, reviews collected via Kickstart campaign will not display in the Lipscore widgets.
      • Make sure that sending out invitations to the past customers is in line with your Privacy Policy and GDPR
      • Make sure that only the customers who should receive invitations are in the file (e.g., shoppers who unsubscribed from your email communication, who did not give you consent for marketing communication, who received invitations from previous provider, etc. should be excluded from the file). Lipscore imports the file provided, assuming that you verified the data in the file.
      • If the file’s structure is not correct, the Support team will reach out with request for corrections.
      • If the file is verified as correct, the Support team will reach out with confirmation that the file is ready for import.
      • Make sure your invitations are adapted to the Kickstart campaign (see this article to learn how to prepare your invitations for the Kickstart)
      • Change the Percent of service reviews according to your preference. You do not need to change the ratio if your Kickstart is service reviews only.
      • When you are ready, reply to the Support team with a confirmation that the invitations can be sent out. The invitations will be sent out latest the next working day (or Monday, if the file is processed on Thursday – we are not sending out invitations between Friday and Sunday), unless you specify a different date.
      • The support team will confirm when the invitations had been sent out. Then you can change the invitations and set the percent of service reviews to your preference for the ongoing orders.
